Project time tracking and expense management
Time can be entered on a task or at the timesheet level. If a team member chooses to enter time on a given task, s/he may select that task directly from his/her Home Page and simply select the Time tab and enter the time and/or expense.
Some project team members prefer to enter time at the end of the day or week. In these instances, the 'My Timesheet' is the easiest way to enter time and/or expenses. Team members can select 'My Timesheet' from the Home Page and enter time against time against a specific task, or a project or even a department, customer or company.
If a team member wishes to enter time against a specific task, s/he simply selects that task from the pull down menu named 'Task.' The team member may choose to hide all completed tasks from the pull down menu, as well as sort the tasks in alphabetical order or by start date.
Time and expense codes can be customized to match accounting codes. Team members can select whether that time entry is billable or not. In the case of expense codes, they may choose if the expense is reimbursable or not.
Date pickers offer team members a short cut to selecting a given date range. Project Insight conveniently displays the total number of available work hours within that date range, as well as the total number of hours a team member is scheduled for during that period.
As a team member enters in time or expenses, the total is added automatically and displayed in real-time.
Time and expense approval process
Project Insight allows Administrators to define who has the time approval and/or expense approval roles. This is defined in the user profile of the appropriate team member. Once defined as an approver, the individual's name will appear on the pull down menu of approvers.
Timesheets and expense reports can be submitted following your internal process, weekly, bi-monthly or monthly. Once a timesheet is submitted, Project Insight automatically sends an alert via email to the approver, letting that individual know that a timesheet is awaiting approval. The pending timesheet also appears in the approver's Home Page.
Upon approval, Project Insight emails the submitter an auto-alert notifying him/her that the time has been approved or rejected. If rejected, the reason is included in the response.
