Project Insight Version 10 Feature Updates

Upgraded interface
With each major upgrade, we improve the look and feel of Project Insight, in order to keep current with trends and customer expectations. Now, you will find:

-Rounded corners for menus and boxes and gradient colors

-Updated icons
-More space between lines in task lists, Gantt charts, and reports
-Increased text size for easier viewing
-Simplified forms, collapsing information for a cleaner look and feel
-Reduced red for overdue items such as tasks
-Branded sites will now have branded icons

The underlying display technology has been upgraded from HTML4 to HTML5 and CSS3. This gives us the ability to add more eye catching graphics for our customers now and in the future. HTML5 also provides the team member with better interface feedback such as highlighting where the mouse is on the page and more! This technology also allows for a better iPad and mobile device experience.

For the techies out there, we are using SVG or scalable vector graphics which will allow mobile devices to zoom without losing any clarity of image.

Improved, hybrid dashboards
Due to customer demand, we have upgraded the portals and dashboards allowing for enhanced customization and personalization of work information, including:

-Choose from 12 unique layout options to design your own dashboard


-Select from more elements to add to your dashboard, including saved reports, graphical reports and even web pages
-Use drag and drop to customize your dashboard

Updated graphical reports
We’ve updated the types of charts available including, area, bar, column, donut, line and pie charts. Now bar graphs may be vertical or horizontal and pie charts are more rounded and dimensional. To add a pie chart of project types or statuses on your dashboard, just go to display options and select ‘Projects by Status Pie Chart’ or ‘Projects by Type Pie Chart.’

You will also find charting available on issue reports, to-do reports, custom item reports and time entry reports.

Add reports to dashboard
Now you may add up to four saved reports to your dashboard, making the dashboard a truly hybridized and customized view.  Just select ‘reports’ form the display options, which adds the box to the page. Navigate to ‘click to select a report,’ or choose the ‘wheel’ icon in the upper right hand corner of the box to choose from your saved and shared reports list. You may also determine the height of your box. The width will depend on which part of your dashboard you place the box.



Add web pages to dashboard
You may now add URLs or web pages to your dashboard. Common uses include, Wikis, corporate portals, SharePoint, another link in Project Insight, or any website. You can access more elements that you work with regularly and work from one page! You may add up to four web pages in this version.

Collapse or expand all from dashboard
Now you may collapse all boxes or expand all boxes on your dashboard page. Just go to the display options and choose ‘collapse all’ or ‘expand all.’ We recommend using collapse all when using the new layout options and dragging and dropping boxes around as you can see more in one view.

Work List
We’ve added a new box to place on your dashboard or portal page, called Work List. The Work List represents everything you are assigned to, including tasks, issues, to-dos and custom items. This box also permits you to select ‘on it’ or ‘all.’ Any items you may have checked as ‘on it’ from other areas will automatically display.

On It
Now team members may designate which tasks, issues, approvals and other items they are working on for the day or week. Team members may toggle between items they are working on and all item for projects, tasks, issues, approvals, custom items, to-dos and more. Just toggle the ‘On It’ for a shorter list, and all for everything.


Social stream
For fast paced project teams that want to view and collaborate on projects in real-time, we have added the ability to view changes or updates on tasks, projects, and comments using the notifications box on the dashboard. Now team members may receive information that they choose by selecting alerts. If you use the user profile photo option, you will experience a social look and feel to the notifications stream.


Choose your own font size
As every team member has different preferences, we now allow the user to select his or her own font size in Project Insight. Some like the larger font with more white space, while others like to view as much information as possible within one form. If users are allowed to edit their own profile, they may select the font size from the preferences tab.

Overdue tasks in red on task list and Gantt
While your tasks always turned red on your dashboard or portal page when they became overdue, now the end date of the tasks turns red on your task list, Gantt charts and task reports, giving you immediate visual feedback of problematic tasks.

Simplified task detail form
Due to customer demand, we have simplified the task detail form. You will find the details and related items collapsed. However, as no two team members are alike, you may now select what areas of the task detail form you would like to have exposed. Once selected, Project Insight will remember your setting for all tasks. Of course, you may always view the additional information at any time. This allows each team member to work with just the information they deem important, keeping the view clean and clear.


We have reduced the number of tabs, grouping file attachments, links, shortcuts, issues, approvals and to-dos into one section called related items.

For even more enhanced usability, team members may click anywhere on the line to open a section, not just the arrows.

Re-activate approvals
If you need to restart an approval, now you may simply select ‘deactivate and re-start.’ Project Insight will retain the history in the comments section. You will notice photos of the team members you are selecting to approve the item, along with the ability to re-order the sequence of approvers if you wish.

Add custom fields to approvals
Now custom fields may be added to your approval forms. The process is the same as adding custom fields to the project, task, issue, to-do, company, user, expense or time forms. Of course, you may immediately report on all custom fields.

Route multiple items for approval
Now you may add as many items as you need to an approval, including projects, tasks, issues, documents and more. This simplifies the approval process if many items are related to the same approval.

Collapse-able time entry grid
While you could always add a group by project to your time entry grid, now the team member may opt to collapse sections of his/her time entry grid to simplify the view.

Project level capacity planning
At times, resource managers or executive management want to determine how many hours team members will dedicate to each project. Now, Project Insight permits you to specify how much time, in hours, a resource will spend on a project per week or month. This allotment appears in the resource allocation reports so you may view how many remaining hours a resource needs to be allocated. You may view already scheduled work, allotted work and the variance which equals the remaining capacity that resource or department has.


This also allows resource managers to run basic ‘what if’ scenarios without having to assign resources to tasks.

Resource Capacity Planner


Project Insight’s new reports allow resource and project managers to view overall resource capacity graphically. The line chart defines the number of resource hours your organization has during the time frame specified, while the bar charts outline the hours in terms of specific skills required. When you pass your mouse over the section of the bar chart, the number of hours for the specific skill or resource type appears. This report is found on the new dashboard under ‘allocation.’

Master folders and reporting
This feature expands the use of folders as organizational and security mechanisms. Now you may designate a folder to be a ‘master folder’ from which you may report on. The reports will allow you to view data on any items that reside in the master folder and any folders under the master in the tree hierarchy. It’s great for organizing programs or other mid-level designations.

Reduced clicks on saved and shared reports
Making Project Insight as easy and usable as possible, we have integrated the save and share function in the reports. When you go to save a report, you may also share it within the same layer and save it once. If you are creating many new reports, then Project Insight will remember the team members that you like to share reports with, keeping the clicks to a minimum.

Custom user fields on resource reports
Because you may need to filter on resource information from your custom fields in the user profile, now you will be able to select those fields as filters on the popular resource allocation reports.

Baseline variance reports at the project level
Now you can compare a resource’s actual hours versus baselined hours to understand efficiency on tasks performed.

Add your own project status indicators
If your team uses more than three project status fields, now you may upload your own graphics to represent your project statuses. In addition to the green, yellow and red traffic light indicators, you may add your own colors or styles to visually represent your additional statuses.

Stop impersonating a user
If you are an administrator, chances are you have impersonated a team member at some point. Now you do not have to log off and re-log on as yourself, you may simply hover over the ‘logged in as’ text and click on ‘stop impersonating.’


Create default dashboards

If you are a systems administrator in Project Insight, you may define, create and set your team’s dashboard to a systems default. This is particularly useful at the beginning of an implementation or for new team members. Once a team member changes the dashboard from the default, Project Insight respects that change. A system administrator may force a reset of all team members’ dashboards if they choose to. Keep in mind that permissions are still in place, so a report will not display if that team member does not have the right levels of security.

Auto-archive a project
Administrators may now designate an archive folder in the system. When projects managers change the project state from active to archive, the project automatically gets moved into the archive folder, eliminating one step of the process. Tere is also an option to allow a user to override the pre-configured default, and also for the project to automatically assume the permissions of the archive folder. This feature is enabled by selecting an archive folder from the "Projects" tab on the System Configuration page.

Single sign on from SaaS
Everyone has too many logins to remember these days. Now, you may tie your Windows login and password to your Project Insight login, so once you have logged in for the day, you are automatically logged into the application. Set up may require a technical professional on your end, or our Professional Services team can help as well.


You may also opt to authenticate via Facebook, GoogleApps or any other third party federated service, not just Windows.

Note: Outlook and Office Connectors will still require one time set up of Project Insight login information.

Internationalization and cultural settings
If you are part of a global team, then you may need the user interface to display in various foreign languages. Administrators may export the data fields from Project Insight to Excel and translate these fields into any language or set of custom labels. Once completed, a simple import allows you to load all your new fields into Project Insight. Once uploaded, administrators may associate users’ profiles with a specific language and/or cultural preference.

Expanded international dates and currency formats
You may now select a date format of your choosing from an extensive list. Leveraging Microsoft’s list of ‘cultures,’ administrators may opt for new choices.

Improved auto-alerts
Project Insight administrators will be able to create their own email templates using HTML or text for auto-alerts and notifications. If you have HTML/CSS skills, then you may customize your alerts with your company’s look and feel, logo, and more. What’s more, if you have an international team, you may even set up alerts in foreign languages. Just use the culture and interface settings, create a new language or culture. Once saved, you may click on it and get started with the ‘notification templates’ tab. Once a user’s profile is linked with the correct cultural setting, they will begin to receive the correct email alerts.
    

Improved custom fields and forms
We have added tabs to the administrative section where you add custom fields, simplifying the form and tucking away more complex features under the advanced tab. When you go to add data for drop down menus, you will find an inline editing option. However, you may still use the ‘bulk add’ in case you need to copy and paste tons of information into a drop down.

When creating custom items as forms, you may create columns and headings, making your forms look more stylish and easy to read.

If you need to copy a custom field, you may by selecting the new ‘copy’ icon.

Additional permissions choices for project managers
In keeping with making our software the most flexible in the mid-market, administrators may configure project manager permissions within folders more granularly. This allows for permissions to be set at a folder level and push down to every item below it.
