Our software has been integrated with a myriad of CRM solutions, ERPs, accounting systems, help desk applications and even home grown databases.

This session is about the common integration points of Project Insight and popular accounting solutions such as MS Dynamics Great Plains, Navision, Solomon, Sage 100, 300 and 500 and ERPs like Oracle and SAP.  

We believe the project team is best served by working daily in Project Insight and the finance team is best served by working in the ERP or accounting system. However, it is imperative that these two teams work together, collaborate and share knowledge. 

While Project Insight may be integrated with an accounting system at a multitude of data points, there are some common integration points that customers request the most.

These include:
  • Passing account information over, including company name, address, phone number and more
  • Passing contacts over from the accounting system to the user list in the project management solution
  • Passing project target budgets from the ERP to the target budget in Project Insight 
  • Applying contracts from the ERP to Project Insight projects
  • Passing approved time and expenses to the accounting solution to eliminate duplicate entry and minimize errors

Many accounting solutions have project modules.In this example, the Microsoft Dynamics Navision Project Card is used to create projects in Project Insight

If the client organization is in the accounting system, then the integration creates a ‘company’  in Project Insight. This client, organization or company is associated with this project, which is useful for reporting on projects by client

Roll ups may be created on reports and dashboards.

User or team member information may be passed from an employee, sub-contractor, or other table. 

Alternatively, the integration can pass user information from another source such as Active Directory.

These team members may be selected as resources on projects.

Along with the projects and users, if a project manager is assigned to a project, and the name is not found in Project Insight, then that project manager information may be passed into Project Insight.

The project manager’s name is on the Task Card and added to the project as its project manager.

For many teams, high level financial information is initially stored in the ERP.

When it is time to start planning for the project, the Revenue Budgets can also be brought over from the ERP system into Project Insight’s target budget and/or target budget billable fields.

These fields allow for portfolio and project reporting options like efficiency and profitability reports that key off of these fields. 

Let the project team enter their time in Project Insight, but also allow the accounting team to access that valuable information.

Entries can be consolidated by project/by person/by time code/by day to ensure that the fewest number of time entries are transferred.

Expenses entered and approved in Project Insight may be transferred to the accounting solution, allowing the accounting and financial team to work in their systems, while the project team lives in Project Insight.

If you use contracts and want to associate projects with contracts or rate cards, you may pass that information to Project Insight from the accounting system.

Project Insight contracts are the billing link to the accounting system, in this case MAS 500.

The integration also creates a ‘company’ if it doesn't already exist in Project Insight which is associated with the contract.

This is useful for reporting on projects for a particular company. 

Companies can be customers (internal or external), vendors, partners, business units, etc.

  • Time
  • Expenses
  • Invoices
  • Custom fields
