Getting started with the Salesforce App is easy. When you install the Salesforce App it will automatically create a custom object call Projects. It will also automatically create fields for:

  • Project name
  • Account lookup
  • Scheduled start date
  • Target billable total
  • Project manager look up
  • Start date
  • End date
  • Percentage complete
  • Behind schedule status
  • Accomplished hours status
  • EAC billable
  • PI Project ID

Once the project information in Salesforce has been added, just click the ‘Update Project Insight’ check box. This creates a project is in Project Insight, and passes the information from SFDC to PI.

The following fields are communicated from Project Insight back to Salesforce:

  • Schedule status
  • Accomplished hours status
  • EAC billable
  • Target billable total
  • PI Project ID
  • Start date
  • End date
  • % Complete

The Target Billable Total is the target revenue that the project is generating. The EAC Billable is the comparison of how much the project is costing compared to the revenue it is bringing in. This keeps the sales person or account manager aware of the progress of the project to date. The CRM often has the new customer’s account information, such as company name, address, main contact, phone number and more. Instead of re-entering that data and risking errors, this information may pass directly over to Project Insight’s company form.

Because Salesforce often has the account information such as account name, address, contact phone number and more, you don't want to enter that data twice. The information may be passed over directly to Project Insight's company form. This adds the corresponding account information to Project Insight.

Similarly, Salesforce contacts can be passed over to Project Insight. For example, perhaps a client is going to have tasks on the project, like beta testing or approving work. There is no need to re-enter contacts manually, just click on 'Contact Linked to Project Insight' and the information will be shared with PI.

Last but most importantly are the comments. Any comment added on the project in Salesforce may be shared with the project team in PI and vice versa, allowing each team to 'live' in the right application while still collaborating and sharing information.

Set up is easy. A Project Insight administrator enables the Salesforce integration at the domain level. A wizard will walk him or her through the set up process. Two items are configured – projects and accounts. The administrator will want to test the integration to make sure the two systems are communicating.
